Estimate Optimizer ("Estimate Optimizer," the "Service") is operated by Axiom Systems LLC ("Company," "we," "us," or "our"), a Wyoming limited liability company. We respect your privacy and are committed to protecting your personal data. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit estimateoptimizer.com (the "Site") or use our services.
1. Who We Are
Estimate Optimizer is a Loss Recovery Audit service for independent collision repair shops, provided by Axiom Systems LLC (Wyoming, USA). For privacy questions, contact privacy@estimateoptimizer.com.
2. Information We Collect
Information you provide:
- Name and contact information (email, phone number) — primarily when you book a free audit
- Business information (shop name, location)
- The contents of messages or requests you send us
Information collected automatically:
- Device and log data (IP address, browser type, operating system, referring URLs)
- Usage data (pages viewed, links clicked, time on site)
- Interaction data captured by analytics and session-analytics tools, including mouse movement, clicks, scrolling, and page interactions (see Section 4)
We do not sell goods or collect payment on this Site; bookings are scheduling requests for a free consultation.

4. Cookies, Analytics & Tracking Technologies
The Site uses cookies and similar technologies. Specifically:
- Google Analytics 4 (GA4) — aggregate traffic and usage analytics.
- Microsoft Clarity — session analytics, heatmaps, and session recordings that capture how visitors interact with pages (clicks, scrolling, navigation). Clarity data is used to improve usability. See Microsoft's privacy statement for how Microsoft processes this data.
- Meta Pixel and the Meta Conversions API — to measure and optimize our Facebook/Instagram advertising and to attribute conversions. This may involve sharing limited event data (including hashed identifiers such as a hashed email or phone number when you submit them) with Meta Platforms, Inc.
- Booking widget (GoHighLevel / Ascension Agency) — our scheduling form is embedded from a third-party provider that processes the contact details you submit to book an audit.
You can control cookies through your browser settings. Where required, we will offer a cookie-consent mechanism to manage non-essential tracking (see Sections 10–11).
5. How We Share Your Information
We share information with:
- Service providers and platforms that operate the Service on our behalf, including: Google (analytics/search), Meta Platforms (advertising measurement), Microsoft (Clarity analytics / Bing), GoHighLevel / Ascension Agency (booking and communications), Twilio or similar (SMS delivery, if applicable), and Netlify (hosting).
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets.
- Legal requirements — to comply with applicable law or valid legal process.
- Protection — to protect the rights, property, or safety of the Company, our users, or others.
We do not sell your personal information for money. Certain advertising-related disclosures (e.g., "sharing" under California law) are addressed in Section 10.
6. SMS / Messaging Consent
If you opt in to receive SMS messages (for example, appointment reminders related to a booked audit):
- You consent to receive SMS messages related to your request and account.
- Message and data rates may apply; message frequency varies.
- Your SMS consent and phone number will not be shared with third parties for their own marketing. We share your number only with SMS service providers solely to deliver messages you've consented to.
- Reply STOP to opt out at any time; reply HELP for help, or contact privacy@estimateoptimizer.com.
- Carriers are not liable for delayed or undelivered messages.
7. Data Retention
We retain personal data only as long as necessary for the purposes described here, including to satisfy legal, accounting, or reporting requirements, after which it is deleted or de-identified.
8. Data Security
We use appropriate technical and organizational measures to protect personal information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. Your Rights
Depending on your location, you may have the right to access, correct, delete, restrict or object to processing of, or port your personal data, and to withdraw consent. To exercise these rights, email privacy@estimateoptimizer.com. We will respond as required by applicable law.
10. California Privacy Rights (CCPA/CPRA)
If you are a California resident, you have rights regarding your personal information under the California Consumer Privacy Act, as amended by the CPRA:
- Categories collected: identifiers (name, email, phone, IP), commercial/business information, internet activity (browsing and interaction data), and inferences. Sources and purposes are described above.
- Right to know, delete, and correct your personal information.
- "Sharing" for cross-context behavioral advertising: Our use of the Meta Pixel and similar advertising technologies may constitute "sharing" of personal information under California law. You have the right to opt out.
- Do Not Sell or Share My Personal Information: You may opt out by emailing privacy@estimateoptimizer.com or by enabling a recognized opt-out preference signal (Global Privacy Control / GPC) in your browser, which we will honor for that browser.
- Non-discrimination: We will not discriminate against you for exercising these rights.
11. EEA/UK and International Users (GDPR)
Estimate Optimizer is operated from the United States and intended for a U.S. audience. If you access the Site from the EEA or UK:
- Our legal bases for processing are your consent (e.g., non-essential cookies), our legitimate interests (operating and improving the Service), and compliance with legal obligations.
- You have rights of access, rectification, erasure, restriction, portability, and objection, and may lodge a complaint with your supervisory authority.
